MEETING MINUTES

MEETING MINUTES (April 26, 2010)

VENUE (Rock Creek)

Present: Drew Brady, Reg Hodsman, Mark Stewart, Scott Yasinski, Dallas Dorian

1.0 Call to order (Reg. Hodsman): 19:15

2.0 Adoption of minutes (Feb/22): Scott/Reg.

3.0 Treasurer’s report
Balance remains at $ XXXX

4.0 Business arising from the minutes:

1.) Sponsors – Discussion was held about how to most effectively incorporate a sponsors section into the website. Scott will get verb-age from sponsors to post when this section will become active. Also the need for new/more sponsors was discussed. Companies like Kelsey’s are no longer in existence and we may want to find companies to replace these types of old sponsors.

2.) Euro Show – RCC to provide Tech sheet for self inspections.

Dallas has volunteered to create 3 flags (red, white and black) for the Euro Show Track Day in order for easier management and communication with drivers on the course.

Need to start collecting donations for Euro Show.

3.) Club jackets – Discussion was held about what type of jacket would be best suited for the club. A short sleeve golf jacket or a thicker (more suited for winter) jacket. It was agreed that the “north-face” style jacket would be worn much more.

4.) Pay-Pal – Reg now has the password and login. Will tie to bank account asap.

5.) Club Banner – Props to Scott for securing a great looking club banner at minimal cost.

5.0 New Business:

1.) Majestic Car Show – Great spot, good time, nice cars. Next year we will take a more interactive approach with ideas like a video booth and generally more media to promote the club. Would also like to attract more female participation in the future.

2.) Driver Education Days – All dates confirmed on the website. Club day Saturday after the Euro Show and Sunday Morning following. Both have been confirmed with the track.

Driving School on May 16th – Chester to email formal agenda once completed but rough outline is as follows: Start at 9am, classroom secession until noon, break for lunch, walk the track at 1pm, braking drills then setup a course and run. Three instructors will be on site. Cost will be roughly $45 to 55.

3.) Membership cards – Reg/Allan to re-design. Will get past template from Butch to work off of.

6.0 Other Business: No other business.

7.0 Provision for next meeting:
May 22, 2010 – Tentative venue of Rock Creek

8.0 Adjournment: 20:18 (Drew/Mark)

MEETING MINUTES (November 30, 2009)
VENUE (Hodsman residence)

Present:	Drew Brady, Reg Hodsman, Mark Stewart, Scott Yasinski, Allan Fong, Jess Hodsman.

1.0	Call to order (Reg. Hodsman): 19:53

2.0	Adoption of minutes (Sept 27/09): Scott/Mark.

3.0	Treasurer’s report
Balance remains at $xxxx.xx. Mark Stewart submitted payment for one new member, thus balance will increase to $xxxx.xx, as there were no expenditures this month.

3.0	Business arising from the minutes:
1.)	Newsletter – Reg will contact Rolf, to determine number/frequency required as per national bylaws.

4.0	New Business:
1.)	Sponsors – It was felt that there was a need to canvass sponsors to determine which of the previous sponsors are interested in remaining so. Kelsey’s restaurant is now defunct. Dilawri, Complete Wheel Shop, The Dent Clinic, and Innovation Audio remain as previous sponsors. Reg will contact Innovation Audio.
New sponsors: Discussion was held regarding potential new sponsors including CWS (Cam Waugh)(Scott will approach), Minute Muffler (“Kelly” – Reg will contact), Tire Rack (Reg. will contact), eshine.ca (Allan will contact), Drew Brady (has offered to sponsor).

2.)	Golf putt challenge – Further to previous discussion regarding this game of chance that the insuring company agreed to allow us to redo (as the Euro Show was rained out), it was previously decided that we would run a repeat of this at Dilawri BMW. Scott and Reg will contact Dilawri to finalize a date.

3.)	Euroshow Committee – Committee will meet in January. Scott has agreed to head the committee. Date of Euroshow has still not been finalized. Scott will follow up (will contact Kathy to obtain contact email to book Legislative Building parking lot and ascertain a date). Discussion was held regarding which organization we should have benefit from the Euroshow. It was suggested (Drew) that we might consider the Humane Society as well as Hopes Homes. It was also suggested (Scott) that we as a club perform volunteer work – e.g. – Telemiracle, Adopt a family at Christmas, Humane society, Habitat for Humanity.
It was also decided that we would change the Euroshow such that the show would be held on the first of two days (Saturday), followed by a track day half session on the second day (Sunday).

4.)	Track Days – In 2009, we booked two Saturday half-sessions, and four Thursday evening sessions. Track Day coordinator (Drew) will follow up by contacting Rod Ziegler.
It was suggested (Scott) that we have track days associated with additional events, and that we perhaps hold our monthly meetings on the same night as the track days (?supper meetings, ?BBQs at members homes). Discussion held regarding same.

5.)	Christmas party – currently slated for December 05, 2009. In light of various members being unable to attend on this date, it was decided to change the date to Friday, December 04, 2009.

6.)	Web site – Following short discussion, it was decided to omit the treasurer’s report from the minutes. As well, it was decided that we should try and have the colour scheme of the web site match the club’s colours. Mark will discuss with Jon.

4.0	Other Business:

There was no other business.

5.0	Provision for next meeting:
January 25, 2010 – venue to be decided.
Euroshow meeting – Reg will post date/venue on web site.

7.0	Adjournment: 21:19 (Drew/Allan)

Window Stickers – for our club. We will look into new stickers to advertise our new name. We will aim to have them ready by the Euro show to give to all members as they pay fees.

Charities: We will continue to support Hope’s Homes in 2010

Sponsorship – we need to touch base with our current sponsors and find some new ones. We have been supported by Dilawri, Queen City Autobody, Value Tire, SUDs, Dent Clinic, CAS,…

Review 2009 Events:
European Car show – went very well considering the weather, poured rain all day. We need more members involved. Find sponsors and raffle items earlier. A letter on club letterhead outlining the show to give sponsors would be helpful.

Majestics Car show – we were stuck off by ourselves this year, not really much exposure for an expense of XXX. May go in next year, but put in fewer cars.

Track Days – We joined the Corvette club in buying membership at the track. ($650) We need more variety in track layouts next year. There were good turnouts at the Thursday evenings. The club day was a big success, many attended for the afternoon. It was suggested again that we try to get some instruction. There may be an opportunity to have a “cart” day next year.

Club T-shirts – some still old ones in stock. New club logo to be used , Reg and Mark will design new shirts and Jessica will look in to costs. They will report at the next regular meeting in Nov.

Show and Shines – members attended a variety of events. It turned out that the Canadian Tire location was not good, not much exposure. We will try for even more participation next year around the province, it is a great way to promote our club and attract new members!

New Business:
Euro Show Planning – committee will consist of Scott, Drew, Allan, Reg, and others. We still need to run the “putting” contest since we are on the hook for the insurance cost. Scott will talk to Dilawri (the sponsor) and try to set something up soon. It must be done before the end of the year.

Club Day – want to have it on the Saturday before the Euro show. We will book the track as soon as we have confirmation of the date. Everyone would have to purchase a $5 track pass and pay $10 to cover interim membership and entry to Euro show.

Driving Training – insurance costs expected to be the same or may be included in track fees if they can make a deal. Evenings are good so we plan on doing the same next year. We will continue to charge $30 per session and split the associate membership fee with the corvette club ($650)

Club Lottery – Winner was Marshall Robinson for 2008. We will continue with the club lottery this coming year that would include $100 from the club and any other prizes collected over the year.

Meeting Place for 2010 – some public places were suggested for meetings, perhaps more people would feel comfortable attending if they were not at private homes. Suggestions were Movado’s, Rock Creek. Looking for suggestions.

BMW Club Annual Christmas Party – to be held on Saturday –Nov 28, Dec 5, Dec 12 (tba) at the Hodsman’s, 2475 Broderick Bay at 7:30 again.

Adjournment: 17:50 moved by Reg H. Seconded by Mark S. Carried.
Next regular meeting: will be at Hodsman’s 2475 Broderick Bay.
